What happened
Spandan is Government Polytechnic Awasari's own annual gathering. TechOrbit Foundation wanted to back it rather than stage something of its own, and we ran the foundation's side of that.
Supporting somebody else's event is a different job from hosting your own. The college owned the programme. Our work was to make the foundation's involvement legible without taking the day over, which meant restrained branding and a presence built around the awards rather than around a logo.
We coordinated the trophies and certificates presented to students across academic and extracurricular categories, arranged the foundation's presence on the day, and photographed it.
Scope
The 6 things we ran
Event Strategy & Concept
The format, the audience and the reason for the day, settled before a venue is held or an invitation goes out.
Venue & Vendor Management
Sourcing the venue, holding the date and coordinating the suppliers who have to be on site and ready before anyone arrives.
Branding & Signage
Standees, badges, screen artwork and the printed pieces that carry the client's mark through the venue.
Photography & Videography
Stills and film shot on the day, edited and handed over as a set the client can use everywhere else.
Social Media Coverage
Posting through the day and the recap that runs afterwards, so the audience is larger than the room.
Public Relations & Storytelling
The write-up, the press contact and the account that carries an initiative to people who were not there.

The reason to back a college gathering is the connection it opens between a technology business and students who will be looking for work in two years. That is a longer return than any event report is able to measure.
