Why implementations fail

Almost never for technical reasons. Zoho is configurable enough that most requirements can be met. Implementations fail because the pipeline stages were copied from a template, the data went in dirty, the fields were designed for a report somebody wanted rather than for the person entering them, and nobody was trained past the first week.

Six months later the deals live in a spreadsheet again, the CRM holds a version of reality nobody trusts, and the licences are still being paid for. The company then concludes that CRM does not work for their business, which is the most expensive wrong conclusion in this whole group.

So we spend the first fortnight on how your team actually sells. What a real pipeline looks like, where deals genuinely stall, what a salesperson needs on screen when they pick up the phone, and what the person who owns the number wants to see on a Monday. Configuration follows from that.

We work across the Zoho suite because the pieces are worth more connected: CRM for the pipeline, Campaigns for email, SalesIQ for what happens on the website, and Marketing Automation for the sequences. Where you already run something better in one of those slots, we integrate it and leave it alone.

  • Data migration

    What comes across, what gets archived and what is beyond saving, decided with you. Deduplicated and validated before import, so the first week is not spent losing trust in the data.

  • Integrations

    Website forms, email, telephony, WhatsApp, accounting and the ad platforms, so an enquiry arrives with its source attached and revenue can be traced back to spend.

  • Automation and alerts

    Assignment rules, follow-up reminders, escalation on ignored records and the workflows that remove the administration people quietly avoid.

  • Reporting and training

    Dashboards for sales, for marketing and for whoever owns the number, plus training by role. Documentation written for your admin rather than for us.

How it runs

  1. Weeks one and two

    Discovery with the people who sell. Pipeline stages, required fields, roles and reporting needs agreed in writing. We also audit the data you have and tell you honestly what state it is in.

  2. Weeks three to six

    Configuration, migration, integrations, automation and dashboards, built in your own tenancy with your admin access intact. You see it working in stages instead of at the end.

  3. Weeks seven to ten

    Training by role, a supervised go-live, then tuning once real deals are moving through it. Adoption is checked at thirty days and we act on what that shows.

Questions we get asked

How long does a Zoho implementation take?

Six to ten weeks for most companies. Data quality and the number of integrations drive it more than headcount does. We tell you which end of that range you are at after the discovery fortnight, before the configuration budget is committed.

Do you resell Zoho licences?

No. You buy them directly, at your rates, in your name. We are paid for the implementation. An agency earning a margin on your licences has an interest in the platform recommendation, and you have no way of seeing that.

What if our data is a mess?

It usually is, and cleaning it is part of the job. We show you what can be migrated, what should be archived and what is beyond saving, and you decide. Importing everything is how a new system loses credibility in its first week.

Can you integrate Zoho with what we already run?

Yes. Website forms, telephony, WhatsApp, accounting, ad platforms and most things with an API. Where an integration would be fragile or expensive to maintain, we say so and suggest what to do instead.

What happens after go-live?

We stay on through the first month, because that is when the real problems surface: a field nobody fills, a stage that does not match how a deal moves, a report that answers the wrong question. Adoption is reviewed at thirty days.

Do we need you afterwards?

No, and that is deliberate. Your admin is trained and the build is documented, so routine changes are yours to make. Plenty of clients keep us for larger work, and none of them have to.
